rs United Church Kintor– Official Board Meeting September 15, 2016

Nanci Whittaker opened with a short bible reading and homily.
Minutes were read and adopted
Business Arising from the MinutesD’Arcy and Judy Irvine spoke about wireless microphone options, followed by a general discussion.
Moved by Gail Kavelman, seconded by Al Rutledge that we proceed with the purchase of a portable wireless system for Doug for upstairs, not to exceed $1000. Carried
Gail Kavelman said that she and Louise McLennan haven’t moved on the East entrance re-organisation project. This is to be “revisited” in the future however; part of this effort is to provide some space for the UCW to archive their materials.
Chair Whittaker asked the assembled how a congregational vote is to be organized regarding the “What to Do With The Church Building” survey result. It was agreed that it would be done as part of the next annual meeting.

Doug congratulated Florence on her excellent Video for Mission this past Sunday.
Doug acted as chaplain at Camp Tanner for the Jr. Co-Ed camp ages 7-10 Aug. 16-19, 2016.The softball tournament was a big success with 8 teams, including “Kintumbo”. Kudos to Vivian for her stalwart scorekeeping.
Presbytery meeting last night (Sept. 14) had a great representation from Kintore: Nanci, Doug, Vivian, Noretta and Marie all attended.
Koffee House needs a different structure, having passed its peak. It will be reborn in a different format, perhaps with a games night or partnership with A J Baker?
Doug expressed thanks and excitement over the following:
TreasurerReport is attached. Highlights were read out. Doing well on our M & S target, but well behind our budget on offerings.
Worship CommitteeOct 2 is World Wide communion Sunday, Oct 9 Thanksgiving and the choir is back. Nov. 6 we are closed for Brooksdale’s Anniversary, Nov. 20 is communion.
We welcomed new members to the church: Pearsons, Murrells, Drew and Abby Pearson.
Christian EducationWe discussed the mandate of Gail Kavelman and her year to establish a viable and sustainable Sunday School. We recommended she continue to the M & P committee because the results are positive: the VBS was well attended and Sunday School attendance increased all year.
We are looking into getting volunteers to help with the children. Adults are helping Gail until this protocol has been set.
Property and FinanceTrimmed trees, removed brush and lower branches. Three sets of sliding doors in the basement were removed that are redundant. Eaves troughs were cleaned solving a water leak problem in the basement. Back room was reorganized by Louise and Dan McLennan – thank you! Sewage pump was replaced on the night of the Strawberry supper. New well was drilled to 165 feet. Chimney was removed and cap fabricated by Tanner to be installed soon. Flower beds were cleaned up.
To Do: Cap chimney, repair back shed, fix sidewalk and get back to the pointing project.
Ministry and PersonnelNothing to report except Kevin says he is blessed with a great team
UCWLast month they met and worked on their budget to give to ongoing charities: Medical Electives, Operation Sharing, Camp Tanner sponsorship of a child, Camp Tanner donation and some set aside for kitchen needs.
Audio system question came up – being solved by Judy Irvine
Listened to a Joyce Meyers video about peace.
Next month Gail will be doing the program with a talk entitled “God’s Calling For You!”.
Church and SocietyMinute for Mission presentations have been scheduled for the months October to next February.
Knitting and MoreProblem: Too Many People!
AJ Baker has asked them to come and teach knitting
March they plan another walk-in clinic
They are planning an Old-Fashioned Bazaar to happen November 5th.
They have had a few large donations of yarn.
Presbytery ReportRefugee family from Syria has arrived and are living in Ingersoll. They’ve started English classes and are settling in. There is an Open House at St. David’s in Woodstock to meet them on October 2, 1-3 pm.

New BusinessLouise McLellan wanted all in attendance to know that 36 years ago her dad attended a similar board meeting and announced the birth of Louise’s baby boy.
Doug closed with prayer and thanksgiving.
Paul Henderson moved for adjournment and the meeting was adjourned at 8:28 pm.

New Business:
- A discussion session was held on the POW engineering report. Any questions about the report can be sent to the Property and Finance Committee. A decision on this report will be made at the next Annual Meeting.
- Minister’s Report – Parent/ child drop-in is up and running. Doug is working with the M and P concerning the Administrative Assistant Position. He is connecting with the Christian Education Committee concerning the Christian Education Co-ordinator position. Oxford Presbytery is slowly moving ahead on the Refugee Crisis. Doug is working with other the Pastoral Care Committee on improving our care. Bible Study will be starting in the new year.
- Treasurer – We have two new PAR givers so in total there are now 22 PAR givers. We have a budget deficit of $30 822. 80 as of Nov. 19, 2015. Marg attended a course on the T30-10 taxation law.
- Worship Report – Ushers and greeters are needed for the Christmas Eve service. Julie and Jason Otten will have their youngest child baptized in the near future. Rev. Doug will be off Sun. Dec. 27. The Sanctuary will be decorated between Nov. 22 – 29. We are looking for assistance.
- Property and Finance – We met with Doug and Marg to discuss the fall canvass. The postcard will be out very soon.
- Ministry and Personnel – Moved by Kevin McMurray, seconded by Judy Irvine that the Official Board accept Kay Calvin for the position of Administrative Assistant effective Dec. 1, 2015. Kevin attended an M & P Workshop on various factors involving salaries, benefits, etc. Resumes for the Children and Youth Program Coordinator Position are due by Friday, Nov. 20, 2015. M & P will review applicants on Tues. Nov. 24, 2015.
- Presbytery Report – We set wages for lay ministers. We learned about the “bread, not stones” campaign. There was discussion on the Syrian Refuge Crisis. Liz Lemon is the new chair. Doug hopes to organize a hockey game on Family Day at the Embro Arena. Rev. Judy Campbell was appointed Chaplain for Oxford Presbytery.
- Pastoral Care – We encourage every congregant to spread care and comfort through the church and community. We are in the process of developing a 3 month plan.
- Church and Society – Minute for Mission presentations are planned until January. An Alzheimer Coffee time will be hosted by the M & S Committee after church on Nov. 22.
- Christian Education – We have met to discuss the Christian Ed Coordinator position. Along with the M and P and Doug we composed a job description and we anticipate meeting our new Coordinator.
- Knitting and More – We have sent knitting to London Children’s Hospital and Operation Sharing. We appreciate the use of the church.
- UCW – Our year of transition is over and we are still re-establishing our mandate.

4. Fundraising for 2015 – some discussion ensued regarding our members being encouraged to sign up for PAR and the fact the UCW will not be financial contributing as much to our church.

The Bazaar and Tea Room will be held Nov. 5, 2016 in the Church Basement.

There was a lengthy discussion about the POW recommendations. Moved by Gail Kavelman, seconded by Joanne Stevenson that the Committee formed to search out renovation options, be disbanded. Carried.
Judy Irvine and Barb Graham will put together a congregational survey outlining scenarios for our building in the future.
The meeting closed with a prayer and choral amen.

Committee Reports:
- Minister’s Report – Doug talked about the defibrillator training. Doug is very excited about the new team structure. They hope to hold monthly team meetings. Doug is hosting hockey on family day at the Embro Community Center. Cost is $10/person running from 11 – 1 pm. He spoke about the Syrian Refugees. $24 000 has been raised in support of this cause. Hopefully the Sponsored Refugees will arrive by the end of Jan. The Parent Group on Tuesdays has a good vibe. The Embro Singers were phenomenal at the Caroling Service in Dec. A new event was held at Brunnys, “Carols and Beers”. It attracted several people who wouldn’t normally come to church services.

- Worship Report –Charlotte Iris Wills will be baptized on Jan. 24, 2016. Communion will take place on Feb. 14. Candice Irvine and Todd Pearson will be married on June 4, 2016. Doug is away on Study Leave on Apr. 3, 2016.
- Property and Finance
- Ministry and Personnel – Moved by Kevin McMurray, seconded by Judy Irvine that the Official Board accept Gail Kavelman for the position of Children and Youth Progam Coordinator serving both Chalmers United and St.Andrews United Churches. Carried. Brenda Sim is the new Committee member from Brooksdale

- Pastoral Care –We would like some help with visiting people. Please let them know who would appreciate a visit.
- Church and Society – Minute for Mission presentations are planned. They will supply a chili lunch for the Annual Meeting. They have organized the ushers and coffee time people for March.
- Christian Education – no report
- Knitting and More – Florence reported they have donated various handmade, knitted items to Men’s Mission, White Gifts, and Operation Sharing. They have made a donation to the church. They are learning new quilting patterns from Linda Pearson.
- UCW –Gail thanked the group for the Christmas Dinner.
- Trustees Report – Keith Alderson would like a break from the committee.
